GymNotes Coach

Terms of Service

Last updated 31 August 2026

These terms govern your use of GymNotes Coach — the mobile app (iOS, Android) and the web app at https://gymnotes-coach.com. By creating an account you agree to them.

If you are here as someone's client rather than as a coach, these are not your terms: yours are at https://terms.gymnotesapp.com.

1. Who we are

GymNotes Coach is operated by Mykyta Subotin, an individual entrepreneur registered in Ukraine. Contact: hello@gymnotesapp.com.

2. What the service is

A tool for personal trainers. It lets you keep a roster of clients, build weekly training programs, publish them to a client's GymNotes app, and see the workouts and body measurements a connected client chooses to share.

That is all it is. It is not a payments platform, not a messaging service, not a marketplace, and it does not put you in touch with clients you don't already have.

3. Your account

GymNotes Coach is for adults — 18 and over. Coaching is commercial work, and a coach holds personal data about other people, which makes them a data controller in their own right; both of those need someone who can enter into a contract on their own account.

One account belongs to one person. It is yours to keep secure — anything done through it is treated as done by you. If you think someone else has access, tell us and we will help straight away.

It is worth signing up with details that are accurate and an email address you control: an email you have lost is an account you cannot recover.

4. What would spoil this for other people

Almost everything we ask comes down to one thing: nothing done in GymNotes Coach should harm somebody else — a client, another coach, or a person outside the app.

In practice that means not reaching for another coach's clients, plans or data; not taking the service apart to see how it works; not uploading anything malicious; and not presenting yourself as a trainer, organisation or holder of a certification you are not. An account is meant for one coach and is not for resale or rent.

If that happens we may suspend or close the account. Where it is safe and lawful, we will say why first.

5. You are the trainer, not us

This is the most important clause in this document.

The programs you build, the exercises you prescribe, the loads and volumes you set and the advice you give are yours. We provide a tool for writing them down and delivering them. We do not review them, do not endorse them, and are in no position to judge whether they suit the person receiving them.

You are responsible for holding whatever qualifications, registrations, insurance and permissions your work requires where you live and where your clients live. You are responsible for screening your clients for conditions that make an exercise unsafe.

GymNotes Coach is not a medical device and gives no medical, diagnostic or therapeutic advice. Nothing in it — including anything produced by the voice dictation feature — is a professional judgment about a person's health. It never replaces a doctor.

If a client is injured, the responsibility sits with you and with them, not with us.

6. Voice dictation

You can dictate a program and the app will turn it into a draft.

It transcribes speech and guesses at structure, and it gets things wrong: a misheard exercise, a wrong number of sets, a load that isn't what you said. The draft is a draft. Check it before you publish it to anyone. A program you publish is a program you wrote, whatever produced the first version of it.

The feature is limited (currently three minutes per recording and a monthly cap on dictations). Section 5 of the Privacy Policy explains what happens to the audio.

7. Your clients' data — where the responsibility sits

You will record personal data about other people in this app: their names, contact details, training goals, notes and photos, and you will see the training data they share with you.

For that data you are the controller and we are your processor. That is not a formality — it decides who answers for what, and it places the following on your side rather than ours.

A lawful reason to hold it. Usually your contract with the client, or their consent.

Telling them you hold it, and where. They are entitled to know that their name, phone number and training notes sit in a third party's system. That matters most for people you added from your own records, who are not GymNotes users and have never heard of us.

Keeping it accurate, and no larger than it needs to be. A useful test is whether you could justify an entry to the client it describes. Health conditions, injuries and diagnoses are special-category data under the GDPR and need a stricter basis, so a notes field is worth pausing over.

Answering their requests. If a client asks for a copy of their data, or asks to correct or delete it, that request is yours to answer. If they come to us, we forward it to you.

Photos of other people. A photo of somebody else is theirs, and uploading one without their agreement is not something anyone can put right afterwards. Images are also stored in a public bucket (Privacy Policy, section 6).

We process this data only to run the service and only on your instructions. We do not use it for our own purposes, do not sell it, and do not use it to train anything.

Where these responsibilities are not met, the consequences follow the responsibility — they sit with the coach, including the reasonable costs of any claim that results.

8. What clients see, and what they control

A client connects to you by entering an invite code in their own app, and only after a screen showing them exactly what you will be able to see. They see nothing you did not publish to them, and you see nothing they recorded before the connection.

Either of you can end the connection at any time. When it ends, you stop seeing new workouts and measurements. Programs you already sent stay in the client's library — they are the client's, not on loan from you.

9. Subscriptions

The app currently has no paid plan. When one is introduced, prices and limits will be shown in the app before you subscribe, purchases will be handled by the App Store or Google Play under their terms, and refunds will be theirs to grant, not ours. A change in price will never apply to a period you have already paid for.

10. Your content

Your plans, your exercises, your notes and your profile remain yours. We do not claim ownership.

You grant us only the permission we need to run the service: to store this content, to show it to you on your devices, and to deliver what you publish to the clients you publish it to. That permission ends when you delete the content or your account.

11. Our content

The app, its design, its curated exercise catalogue and its name are ours. Using the service does not transfer any of that, and the catalogue in particular is not ours to give away — copying it out of the app for use elsewhere is outside what this licence covers.

12. Availability

We try to keep the service running and we do not promise that it always will be. There will be maintenance, there will be outages, and features may change or be withdrawn. If we withdraw something you rely on, we will give you reasonable notice and a way to export what matters.

Anything you cannot afford to lose is worth keeping your own record of.

13. Ending it

You may stop using the service and delete your account at any time.

We may close your account for a breach of section 4 or 7, or if we stop operating the service. Except where a breach makes it impossible, we will give you notice and time to export your data.

Deletion is explained in section 9 of the Privacy Policy.

14. If something goes wrong

This is the most legal section in the document, so here is what it does first: it puts a ceiling on what we could owe you. It does not oblige you to pay anyone anything.

If we harm you through our own negligence, we are answerable for it, and the law does not let us limit that. We are not trying to.

Beyond that, the service is provided as it is, and we are not liable for losses we could not have foreseen — lost profit, lost clients, lost time, lost data. And there is a ceiling: in any twelve-month period our total liability will not exceed what you paid us in that period, or 100 UAH if you paid nothing.

Anything to do with training, injury and health is governed by section 5.

15. Changes

We may change these terms. The new version appears here with a new date, and we will tell you in the app before a material change takes effect. Continuing to use the service after that means you accept it. If you do not, close your account.

16. Law and disputes

These terms are governed by the law of Ukraine, and disputes go to the competent courts of Ukraine.

If you are a consumer resident in the EU, this does not deprive you of the protection of the mandatory rules of your own country's law.
